Scout Guide Regatta 2023

Good News!  The Scout Guide Regatta is on again at Snug Beach next March long weekend! The registration fee has been heavily subsidised to encourage youth members to return to this fantastic event after a Covid-enforced break.  Register early (before Christmas) for the best saving.   Registrations will increase by $15 if paid after 15 December.  If you haven't been to a Regatta before, you are in for loads of fun. Talk to your Leader and register online. If you have been to a Regatta before, you know you can take part in many different activities, make new friends and have a great weekend.





Information for Guides

Talk to your Leader and make sure your unit is going to be attending the Regatta

Once your Leader has registered your unit, agree to the conditions of registration for the 2023 Regatta, complete your online registration and pay your Regatta fee. Ask your parent/guardian to do this on your behalf if you wish. Remember you must be ten years old at the time of the Regatta to participate and please register before 15 December so it doesn’t cost $15 more.

Let your Leader know you have registered – this is important.

 

Information for Leaders

If you have been to previous Regattas, you will see that the registration process is different this time. 

Leader registration opens on 3rd October 2022.  Please register your unit before registration for youth members opens later in October by completing the online registration and paying your fee.  As part of the registration process, all participants will be asked to agree to the conditions of registration for the 2023 Regatta. Registrations close on 23 February.

Leaders who have not been to the Regatta before – welcome!  The Regatta is a great way to start the year. Bring your Guides to a three-day camp where the programming and catering are organised for you. Take time to enjoy being with your youth members.   There is a lot of help available for Leaders.  You don’t need to bring boats or have expertise in water activities.  Many events are shore based and you can share equipment with other units.  Participants can ‘have-a-go’ at patrol boat rowing, kayaking or learn to sail a Pacer dinghy – the Regatta makes craft available and provides experienced help.  Enjoy watching outdoor movies at night. Talk to other Leaders who know the ropes, or email [email protected]

When your Guides register online, ensure they let you know.  You will also be sent reports of those registered from your unit as a cross check.

 

Information for parents and other adults staying at the Regatta site

The Regatta is held each March long weekend at Snug Beach and oval (35 minutes south of Hobart). Parents and other adults associated with a Guide unit enjoy the Regatta and contribute to its success by participating in some events (if you wish) and helping to run others.  You can camp in the Regatta grounds with the Regatta participants. Register online by completing the Online registration form. As part of the registration process, everyone will be asked to agree to the Conditions of Registration for the 2023 Regatta. 

If staying overnight, you must have a Working with Vulnerable People card.  If you are being catered for you are required to complete an online registration.  If you are self-catering you do not need to register online but please ensure your Leader has your WWVP details. 

Rather than camping on the oval, you may wish to stay overnight at the Snug Caravan Park – but you would need to book this soon – or make alternative arrangements.  Guide parents and other adults can also camp at The Lea near Kingston.  Contact The Lea Caretaker to make a booking - 0437 377 718 or [email protected]

Notes on catering

Catering for the 2023 Regatta will include seven meals: breakfast on Sunday and Monday mornings; lunch on each of the three days and a three-course dinner on Saturday and Sunday nights.

Those who request vegetarian meals or the gluten-free or gluten/dairy-free options when registering will be issued with a different colour wristband. These are the only variations of the standard menu on offer.  Only Olaves, Youth Members or Leaders who require a specific diet due to a medical condition may self-cater.

 

Camping

Please plan to arrive at the Snug Oval after 6pm and set up by 11pm on the Friday night. Youth Members should not arrive before their Leaders. All tent pegs must be made obvious by tying coloured ribbon (provided) around each tent peg. Electricity will not be available. Please do not connect to existing outlets. If there is an urgent need to charge a mobile phone, talk to a member of the Regatta Committee. Generators are prohibited.


Conditions of Registration for the 2023 Regatta

Participants (or parents on behalf of youth members) must agree to the following Conditions of Entry before being able to register for this event.

  • I will not attend the Regatta if I have cold or flu-like symptoms: runny nose, sore throat, fever
  • I will immediately inform my leaders or co-leaders if I have any cold like or gastro like symptoms
  • I will adhere to the Covid requirements in place during the event. These are likely to be regular handwashing, using hand sanitiser, regularly wiping down shared items, maintaining social distancing and/or wearing a mask if needed
  • I understand that all areas used for the Regatta are alcohol, smoking, vaping and drug free sites
  • I understand that youth members must remain on areas designated as part of the Regatta once they arrive onsite until the Regatta closes
  • I have read and understand the Regatta Refund policy

 

Refund policy

Regatta registrations close on 23 February 2023. If a Participant advises the Regatta of their withdrawal by 16 February, a full refund is generally offered. If cancelling registration by 23 February there will generally be a 50% refund. Cancellations after 23 February will not be refunded except for a medical or family emergency. Requests for refunds shall be in writing prior to the event to email [email protected] .

If the 2023 Regatta has to be cancelled due to unforeseen circumstances eg bushfires or State Covid rules, the refund amount will depend on payments which have already been made by the Committee. 

 

Other information for Leaders

Youth members under the age of 18 must have at least one adult for every 10 youth members or part thereof camping with them. Participating youth members must be at least 10 years old at the time of the Regatta.

The Committee tries to allocate duties fairly and, of course, a lot of help is required to run an event where many activities are occurring concurrently. Please have parents or other adults available during the Regatta for the duties and security shifts allocated to your unit.

Youth members under 10 are invited to Taster Day.  There will be more details later, but this event is cost free for participants, a great introduction to the Regatta and good fun.

CANCELLATION POLICY FOR EVENTS RUN BY GIRL GUIDES TASMANIA

  • If the event is cancelled by Girl Guides Tasmania, a full refund will be given.
  • If you withdraw from the event at least one month prior to the closing date for applications, a 90% refund will be given.
  • If you withdraw from the event less than one month before the closing date for applications, a 50% refund will be given.
  • If you withdraw from the event after the closing date for applications, no refund will be given.
